About The Role

The Massachusetts Ops Lead plays a critical role in ensuring smooth project execution, team efficiency, and customer satisfaction within their assigned market. Reporting to the General Manager, this person is responsible for the technical, financial, and logistical success of our residential electrification projects. We’re looking for a heat pump subject matter expert to oversee our trade partners, ensure our team of Project Managers is accountable for high-quality project delivery, and support process optimization to ensure on-time, high-quality installations while driving operational efficiency and continuous improvement. Other responsibilities include though are not limited to:

Big Things

  1. Technical Leadership & Field Expertise
    • Systems Mastery: Serve as the internal subject matter expert for heat pumps, heat pump water heaters (HPWH), and complex gas/oil dual-fuel configurations.
    • Advanced Troubleshooting: Provide high-level diagnostic support for service technicians to resolve complex mechanical and electrical issues in the field.
    • Building Science & Compliance: Ensure all projects align with deep building science principles (airflow, thermal boundaries) and strictly adhere to local building codes and industry best practices.
    • Project Design: Design and specify residential HVAC systems, acting as a technical backstop for Project Managers and Home Comfort Advisors (HCA).
    • Serving as a Project Manager in seasonal times, if necessary.
  2. Sales-to-PM Handoff & Immediate Project Control
    • Take ownership of projects immediately after sale, ensuring a structured and seamless transition from the sales team and that there are no gaps at the point of sale.
    • Review and approve projects before assigning them to a PM, ensuring all necessary details are complete to minimize inefficiencies and change orders.
    • Hold the PM team accountable for structured execution and high-quality project delivery. Reinforce same-day customer communication, ensuring customers receive timely updates post-sale
  3. Scheduling & Project Milestones
    • Oversee scheduling across all projects, ensuring PMs properly track and execute key milestones.
    • Monitor timelines, dependencies, and contractor availability to prevent bottlenecks and delays.
    • Identify and escalate workflow constraints to the GM to drive timely and efficient resolutions.
  4. Oversee Install Partnership Relations
    • Act as the primary liaison for plumbing, electrical, and HVAC trade partners, ensuring clear communication on project scope and technical details
    • Schedule and execute quarterly business reviews with all install partners
    • Oversee operations with our contractor partners ensuring pricing and labor estimates align with margin goals, payments are timely, and commissioning is seamless.
    • Supply PM team with enough install partners for ongoing projects
  5. Optimizing PM Processes & Efficiency
    • Drive process improvements, reducing duplicate (or missing) data entry across Salesforce, Retool, and tracking tools.
    • Ensure PMs have the right tools, visibility, and accountability to execute efficiently.
    • Develop and track KPIs for project success, identifying areas for process improvement and streamlining workflow to maximize efficiency.
  6. Financial Oversight & Accountability
    • Ensure projects are billed, tracked, and completed profitably, minimizing financial leakage.
    • Review job costs and labor hours to identify opportunities for margin improvement.
    • Oversee accounts receivable, ensuring invoices are paid, issues are resolved, and rebates move along efficiently.
    • Approve accounts payable to control project costs and provide feedback into the sales model for better budgeting accuracy.
  7. Market Analysis & Reporting
    • Regularly assess local market trends, customer needs, and competitor activities to refine operational strategies.
    • Provide insights to the General Manager and central teams, contributing to company-wide strategic decisions.
    • Maintain up-to-date reports on project timelines, operational forecasts, and KPIs (avg ticket size, call back rates, labor efficiency, etc).

Little Things

  • Running PM Huddles: Lead PM huddles to align on priorities, address roadblocks, and ensure smooth execution across all active projects. In MA, this is daily.
  • Inventory Control and Logistics Coordination: Oversee the full lifecycle of equipment and parts while ensuring timely delivery to job sites and efficient warehouse organization.
  • Vendor Relations: Maintain strong relationships with suppliers and trade partners to ensure competitive pricing, priority equipment availability, and installation efficiency.
  • Facilitating Communication Between PMs, Installers, and Customers: ensure alignment to prevent execution failures and champion documentation and knowledge sharing to create a self-service culture.

  • Reduction in change orders, improving initial project quality and cost efficiency.

You’re a great fit for this role if you have/you are:

  • Experience: 5+ years in HVAC operations, with specific expertise in heat pumps and dual-fuel systems in Massachusetts.
  • Technical Knowledge: Deep understanding of building science and local building codes.
  • Software Proficiency: Experience with inventory management systems (e.g., Inflow) and financial tracking tools.
  • Communication: Strong ability to communicate technical details regarding plumbing, electric, and HVAC to diverse trade partners.

Total Compensation

  • Annual base salary of $95,000 - $110,000
  • Eligibility for performance based compensation
  • Stock options, commensurate with experience and in line with internal equity bands
  • Health Care: 100% employer-paid base plan; 50% for dependents
